Legal Assistant

Position summary

Ideal candidate should be very well organized and extremely detail-oriented, dependable and able to handle rapidly changing priorities and aggressive deadlines. Candidate should also have excellent communication skills (written and oral), superior follow-through capabilities and have strong multi-tasking abilities. This position takes on many special projects on an as-needed basis.

Position description

  • Maintain file room and SharePoint database containing all company contracts (customer, vendor, etc.)
  • Maintain and update SharePoint database of the company’s various contract forms
  • Respond to individual requests from all departments regarding certain contracts under supervision of managing counsel
  • Redlining and revising certain agreements to meet corporate requirements under supervision of Managing Counsel
  • Review and analyze various executable contracts and final legal documents for accuracy and grammar
  • Prepare various legal documents within the Contract Life Management (CLM) System software
  • Maintain corporate records and file necessary reports with various states where the company is registered to conduct business
  • Prepare final executable contracts for sales team to be sent to the customers
  • Update Salesforce to reflect actions taken on certain contracts as necessary
  • Support and take directions from general associate counsel and managing counsel as needed
  • Perform other duties as required

Qualifications / requirements

  • Associates degree or equivalent is preferred or equivalent combination of related experience
  • Minimum five (5) years’ experience working as a full-time legal assistant or legal secretary at a fast-paced law firm
  • Prior experience using electronic document storage databases in an administrative capacity is preferred but not mandatory
  • Knowledge of and/or experience with Salesforce, Sharepoint, Apttus and DocuSign databases is a plus
  • Sufficient experience to perform work in accordance with established practices and standards, deal with problems of a moderately complex nature, and exercise judgment to determine when issues should be escalated to management
  • Must have working knowledge of contracts administration, including working with numerous contract revisions and ability to analyze legal documents for accuracy
  • Excellent written and verbal communication skills
  • Must be able to handle multiple projects simultaneously with effective and timely follow-up on each
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Ability to establish and maintain professional working relationships with all levels of staff, clients and the public
  • Detail-oriented with the ability to work with minimum/no supervision
  • Willingness to be part of a team-unit and cooperate in the accomplishment of departmental goals and objectives
  • Ability to work in fast-paced, deadline-driven environment
